Office Manager - Oceanside Sanctuary (Oceanside, CA)

The Oceanside Sanctuary is seeking a part-time Office Manager to join our team for 18-20 hours per week. In this vital role, you'll be the central hub of our administrative operations, ensuring smooth day-to-day functions and providing essential support to our Co-Lead Pastors and dedicated volunteer teams.

RESPONSIBILITIES
Volunteer Management
• Oversee the coordination of Sunday volunteer teams, ensuring all roles are filled weekly and and all jobs are done correctly.
• Coordinate and manage midweek office volunteers (Giving Coordinator, Volunteer Scheduler, and People Coordinator), ensuring all tasks are done correctly.
• Act as a primary point of contact for these volunteers, providing orientation, training materials, support, and assistance as needed.
Database Management
• Oversee all database management, including data inputting and cleanup, ensuring all data is accurate and up-to-date.
• Oversee people connections, ensuring periodic check-ins and accurate and up-to-date people notes are recorded and maintained.
Calendar & Room Management
• Manage and maintain the church calendar, including all event registrations, coordinating as-needed with event and group hosts.
• Manage all room bookings on-site.
General Administration:
• Oversee the handling of all incoming and outgoing mail, email correspondence, and phone messages with professionalism and promptness.
• Order and restock Sunday Gathering supplies (communion, hospitality), weekday office and kitchenette supplies, bathroom paper supplies, general office and janitorial supplies, and safety team and first aid supplies.
• Maintain orderly and up-to-date physical and digital files and records for the church.
• Generate periodic reports for the Co-Lead Pastors and Board.
• Coordinate with various contractors, as needed.
Executive Assistance:
• Provide comprehensive administrative support to the Co-Lead Pastors, including scheduling, correspondence, and other assigned tasks.
SKILLS & QUALIFICATIONS
• Proven experience in an administrative or office coordination role.
• Exceptional organizational skills and attention to detail.
• Proficiency in managing calendars, databases, and general office software.
• Strong written and verbal communication skills.
• Ability to work independently and as part of a team.
• Experience in coordinating or managing volunteers is a plus.
• A proactive attitude and problem-solving mindset.
